Your Impact
The WAI Administrative Assistant supports the WAI Department and the COO North Office. Specific WAI related responsibilities include safety and compliance, training and support, data tracking and reporting and project coordination. The WAI Administrative Assistant also provides general administrative support to the COO North office and acts in the Senior Administrative Assistants stead when absent. These responsibilities include fiscal processing, reception, scheduling review of invoices, and supporting CDAAs on program, fiscal, and human resource inquiries and coordination of projects.
Your Skills and Duties
- Provide Administrative support to the WAI team which includes support to local offices on safety and compliance including working with all local offices on timely submission of documents, train agency safety coordinators and provide consultation to safety coordinators on safety matters, gather and compile data, support development or revision of policies and procedures and coordinate projects.
- Support Divisional Administrative Assistants through responding to inquiries and submission of documentation related to the Finance, Human Resource, IT, WAI, Fund development and Communications departments.
- Provide administrative support to the COO North Office including correspondence, filing, coordination of travel arrangements, calendaring, reception services, processing mail, liaison with vendors and headquarters.
- Project Coordination-organize WAI and or COO Meetings/events, attending events, trainings, meetings/conference calls, and taking and distributing meeting minutes.
- Maintain appropriate professional boundaries with staff, clients and community resources.
- Demonstrate sensitivity and responsiveness to cultural differences.
- Perform additional duties as assigned by the Core Division Director.
Education & Work Experience
- A minimum of two years’ experience administratively supporting quality assurance and site safety work desired.
- A minimum of 3 years of administrative assistant work.
- Experience in project coordination.
- Experience in office management, clerical and business office procedures, excellent customer service skills and excellent written and verbal communication skills.
- Proficient in Microsoft Office, database management, internet, Excel as well as experience operating and maintaining standard office equipment.
- Ability to be flexible to evolving needs, to manage the assigned workload in order to meet task deadlines either working individually or as a team player.
- Ability to travel to Agency offices upon occasion, if indicated.
- Meets all state required conditions of employment as set forth by Community Care Licensing for a Licensed Community Care facility; i.e. Fingerprint and child Abuse Index clearance, TB/Health Physical, valid CDL and clean driving record.

Pay Rate: $23.00 - $25.00 Hourly
